Think about a change or improvement you would like to see on campus, at your job, or in your community.  You could propose something new like a college requirement for community service, improvements to classrooms, or changes to internship requirements.  You could advocate improving something, such as the advising system, campus lighting, a dangerous intersection that needs a stop light, the employee break room at your place of employment, or the recycling system in your hometown.  Alternatively, you might want to stop something from happening, such as noise in the dorms, conflict at work, or litter on a local playground.

Once you have your topic, you’ll need to choose your reader—the person or people with the authority and ability to do something about the issue you’re addressing.  Your memo needs to anticipate your reader’s questions, such as:

  • Do we really have a problem or need?
  • If so, why should I care enough about it to do something?

Can the problem even be solved?

  • What are some possible solutions?
  • What are the benefits of taking action?  Who will benefit and how?
  • What are the liabilities/costs?  Who will be responsible for these “costs”?
  • It is not your job to present a final solution to the reader, although you can suggest one or provide some options. Your main goal is to describe the problem in such a way that the reader feels compelled to do something about it.
  • Make sure that taking action on your topic is feasible and possible.  Some problems or situations can’t be easily fixed (such as parking on the SUNY-Morrisville campus), or it might be too expensive or inconvenient or unreasonable to make major changes (such as renovating all the college residence halls).  Be sure that you don’t choose a topic like this to write about.
  • Often, a smaller, more specific problem—even though it might seem boring—works best for this assignment.  So instead of writing about the “entire” parking situation at the campus, you might write about the parking problems posed in one specific parking lot or for one specific group of students.  Instead of suggesting that the college completely renovate all the residence halls, you could suggest that the bathrooms in one dorm be renovated and updated.
