The purpose of this Team assignment is to:

There are two parts to this assignment.
Part 1 – Finalize the Microsoft Project Plan
Are you ready for project execution? You built your WBS, linked the sub-tasks, and entered
effort estimates. Is that enough? Well, you still need resources – people and things necessary to actually
do the work. A resource could be anything that is used to complete a project, including equipment and
other materials (such as cement or web servers). The Case Study calls for setting up Mamma’s Bakery
with an IT system and website. You will need people (project manager, systems analyst, website
designer, network engineer, test manager, test specialist, trainer, contractor) and materials (hardware,
software, PCs, servers, networking, cabling, cable drops, wireless connectivity, application systems, Web
sites, Cloud storage, and ). These are mere suggestions, and your results may vary. Oh, one more thing remember about costs, because resources do not come free!

REMINDER: Do not apply predecessors or successors to recurring tasks because that will confound the
critical path. Recurring tasks just happen at points in time. In fact, MS-Project will set up recurring tasks
using constraint dates. If you then apply any dependency links, you are defeating the MS-Project
scheduling engine.

Add Resources
Now that you know the need for resources, we can look at how you incorporate them into your
project plan. First, make sure to update the Project Plan using the instructor feedback. Next, add the
resources you know about to each sub-task (but not Summary Tasks) at each level of the WBS. For now,
just load the Resource Name, and Type fields – Microsoft Project will fill in default values for the other
fields. If you miss any resources, you can always add them to the Resource Sheet later. Make sure that
all sub-tasks have at least one resource assigned.
Enter Resource Costs
With resources loaded, you must next consider how to charge each resource to the Project.
Microsoft Project’s Cost Model is packed with features, many of which will not be used for our Class
Project. Instead, we will use a Cost Model “Lite” approach that concentrates on the most commonly
used features. Here is a general guide on how to apply resource costs for Mamma Mia’s Project Plan.

Assign Resources to Tasks
Now you can associate your resources to work on project tasks. Assign at least one resource to every
sub-task. Where necessary, you might assign multiple resources to the same sub-task.* Be careful to:

Only assign resources to sub-tasks (where work is done).
•
Never assign resources to Milestone tasks (a special kind of sub-task having zero duration, which
means they have no work).
•
Never assign resources to Summary tasks, as this could result in unexpected results in
calculations.
* A Work Resource can only be assigned once to any specific task (you cannot clone a person). On the other hand, a Material Resource can be
assigned multiple times to the same task (you can buy several identical keyboards).
The final steps are to troubleshoot project costs, validate total project cost against budget, and ensure

Overview
Now that planning activities are done, it is time to prepare the Project Management Plan. Think of it as
the project blueprint, the guiding document for executing and closing the project. Some projects are
small enough not to require a documented project plan, but Mamma wants one for this project. When
the plan is finished, it will be summarized in a separate Project Proposal for Mamma Mia's approval.
There are two parts to this assignment.
Part 1 - Project Management Plan in Microsoft Word
Start with the Project Charter as a required input for this assignment. Review the Charter's contents,
and identify adjustments needed as a result of the planning activities. Then use the new information
where needed in the Project Management Plan.
Project Management Plan
Executive Summary
Begin the document with an Executive Summary, which contains:
• Problem statement, or need for the project.
• Project objectives and how they align with the business strategy.
• Project Management Plan summary.
• Technical solution (a high-level description of the IT system, which might include a graphic).
This is a Summary, so it should be a paragraph or two, not to exceed one page.
Primary Stakeholder(s)
List the individual(s) who will use the final product, influence decisions about the project, and (most
importantly) pay for the project.
Scope Statement
The updated scope statement should align with the Executive Summary, and clearly describe what the
outcome of the project will be. Identify what is in scope and what is out of scope.
Requirements
This should list the stated expectations from Mamma Mia.
Project Constraints and Assumptions
Constraints are any events or circumstances that may restrict or limit a project (and the team's options).
Assumptions are the driving force that determines project success and they are typically outside the
total control of the project team.
Work Breakdown Structure
Do not include the entire schedule. A list of the major deliverables, including planned finish dates, will
suffice.
Resource Costs
At a high level, show the breakdown of costs for work and material resources. Keep this brief and show
the total cost for the project.
