Project Budget
(Team project)
Overview
The purpose of this Team assignment is to:

Add resources to the Project Plan.

Apply costs to resources.

Assign resources to work on tasks.

Validate total projected costs against the stated budget.
• Produce a final Project Plan.
There are two parts to this assignment.
Part 1 – Finalize the Microsoft Project Plan
Are you ready for project execution? You built your WBS, linked the sub-tasks, and entered
effort estimates. Is that enough? Well, you still need resources – people and things necessary to actually
do the work. A resource could be anything that is used to complete a project, including equipment and
other materials (such as cement or web servers). The Case Study calls for setting up Mamma’s Bakery
with an IT system and website. You will need people (project manager, systems analyst, website
designer, network engineer, test manager, test specialist, trainer, contractor) and materials (hardware,
software, PCs, servers, networking, cabling, cable drops, wireless connectivity, application systems, Web
sites, Cloud storage, and ). These are mere suggestions, and your results may vary. Oh, one more thing remember about costs, because resources do not come free!

REMINDER: Do not apply predecessors or successors to recurring tasks because that will confound the
critical path. Recurring tasks just happen at points in time. In fact, MS-Project will set up recurring tasks
using constraint dates. If you then apply any dependency links, you are defeating the MS-Project
scheduling engine.

Add Resources
Now that you know the need for resources, we can look at how you incorporate them into your
project plan. First, make sure to update the Project Plan using the instructor feedback. Next, add the
resources you know about to each sub-task (but not Summary Tasks) at each level of the WBS. For now,
just load the Resource Name, and Type fields – Microsoft Project will fill in default values for the other
fields. If you miss any resources, you can always add them to the Resource Sheet later. Make sure that
all sub-tasks have at least one resource assigned.
Enter Resource Costs
With resources loaded, you must next consider how to charge each resource to the Project.
Microsoft Project’s Cost Model is packed with features, many of which will not be used for our Class
Project. Instead, we will use a Cost Model “Lite” approach that concentrates on the most commonly
used features. Here is a general guide on how to apply resource costs for Mamma Mia’s Project Plan.

Equipment or supplies purchased in advance
Equipment or supplies purchased in arrears
Assign Resources to Tasks
Now you can associate your resources to work on project tasks. Assign at least one resource to every
sub-task. Where necessary, you might assign multiple resources to the same sub-task.* Be careful to:

Only assign resources to sub-tasks (where work is done).

Never assign resources to Milestone tasks (a special kind of sub-task having zero duration, which
means they have no work).

Never assign resources to Summary tasks, as this could result in unexpected results in
calculations.
* A Work Resource can only be assigned once to any specific task (you cannot clone a person). On the other hand, a Material Resource can be
assigned multiple times to the same task (you can buy several identical keyboards).
The final steps are to troubleshoot project costs, validate total project cost against budget, and ensure
the project duration is in line with Mamma’s requirement.

Part 2. Answers to Questions in Microsoft Word
Read and think through the options and alternatives suggested by these questions before building the
Project Budget. When the Project Budget is completed, answer the following questions, and submit
them as a Microsoft Word document. “Yes” or “No” answers with no explanations or discussions are not
appropriate answers.
1. How did you determine the right resources? Were other similar projects used to help determine
resources that might be needed?
2. Was a salary website or the Department of Labor website used to help determine the hourly rate of
the labor resources? If not, how were hourly rates determined?
3. Did you revisit the project charter to ensure resources were consistent with the SCOPE of the
project? This is particularly important in the case of non-project team resources. For example, if a
server or telecom closet is to be built, do the resources include construction types of resources? And
did you consider mountings or furniture for the IT equipment in the bakery areas?
4. Did the total project cost exceed Mamma’s stated budget? Why or why not?
5. What contractors or vendors might be involved in the project and what products or services would
they provide?

Project Budget Fall 2021 Page 5 of 5 Possible Points 5 30 30 20 15 Project Management Plan (Team project) Overview Now that planning activities are done, it is time to prepare the Project Management Plan. Think of it as the project blueprint, the guiding document for executing and closing the project. Some projects are small enough not to require a documented project plan, but Mamma wants one for this project. When the plan is finished, it will be summarized in a separate Project Proposal for Mamma Mia's approval. There are two parts to this assignment. Part 1 - Project Management Plan in Microsoft Word Start with the Project Charter as a required input for this assignment. Review the Charter's contents, and identify adjustments needed as a result of the planning activities. Then use the new information where needed in the Project Management Plan. Project Management Plan Executive Summary Begin the document with an Executive Summary, which contains: • Problem statement, or need for the project. • Project objectives and how they align with the business strategy. • Project Management Plan summary. • Technical solution (a high-level description of the IT system, which might include a graphic). This is a Summary, so it should be a paragraph or two, not to exceed one page. Primary Stakeholder(s) List the individual(s) who will use the final product, influence decisions about the project, and (most importantly) pay for the project. Scope Statement The updated scope statement should align with the Executive Summary, and clearly describe what the outcome of the project will be. Identify what is in scope and what is out of scope. Requirements This should list the stated expectations from Mamma Mia. Project Constraints and Assumptions Constraints are any events or circumstances that may restrict or limit a project (and the team's options). Assumptions are the driving force that determines project success and they are typically outside the total control of the project team. Work Breakdown Structure Do not include the entire schedule. A list of the major deliverables, including planned finish dates, will suffice. Resource Costs At a high level, show the breakdown of costs for work and material resources. Keep this brief and show the total cost for the project. Project Management Plan Fall 2021 Page 1 of 5 Project Management Plan (Team project) Project Team Identify team roles and responsibilities on the project (you can use actual names based on who is in your group). List of Equipment and Materials Format this as a table with these columns: • Task Name • Material(s) • Quantity • Cost • Date required This data will come from the final version of the Project Plan in Microsoft Project. Do not include data on work resources. Risk Statement Copy and paste information for the high-priority risks only (Name, Description, Response Strategy, Response Plan). There is no need to include the Risk Matrix. Communication Plan Lay out the methods of gathering and communicating project progress to the sponsor. This should align with what shows in the schedule, in terms of frequency and type(s) of communication. Change Control Plan This will describe how changes will be approved by the primary stakeholder, Mamma Mia, so it should be a simple process, perhaps to include: • • • • Description of Change Request Impact of not making the change. Effects of the change on schedule, budget, and quality Approval Definition of Project Complete This is a high-level statement of the criteria that define when the project has been completed, or the completed deliverables that evidence a completed project. Signatures This includes signature blocks of the parties (customer team, project team) that are agreeing to the charter. Formatting Your Assignment Consider your audience - you are writing in the role of a project manager and your audience is Mamma Mia. Do not discuss Mamma's Bakery as if the reader has no knowledge of the organization. Do not use the term "case study" - this is terminology used in a classroom and would not be in a business report. Use third person consistently throughout the report. In third person, the writer avoids the pronouns I, us, you, your, we, my, and ours. The third person is used to make the writing more objective by taking Project Management Plan Fall 2021 Page 2 of 5 Project Management Plan (Team project) the individual, the "self," out of the writing. This method is very helpful for effective business writing, a form in which facts, not opinion, drive the tone of the text. Writing in the third person allows the writer to come across as unbiased and thus more informed. • • • • • • • • • • • Create an APA format title page that includes: The title of report (Project Management Plan), Team name, Course and Section number and date (use assignment due date); do not include graphics or themes. Font should be 11-point Calibri, 11-point Arial, 10-point Lucida Sans Unicode, 12-point Times New Roman, 11-point Georgia, or 10-point Computer Modern. All in-text citations must appear in the References list and all entries in the References list must be used as in-text citations. Run Microsoft Word's grammar/spell checker; there should be no errors in grammar, verb tenses, pronouns, spelling, punctuation, first person usage, or contractions. If headings are used, do not leave blank lines after the previous section. Submit your paper as a Word document, or a document that can be read in Word. The slides should be prepared and formatted as though they will be presented face-to-face in a Conference room with a projector. • • • • • • • • • The presentation should open with a discussion of scope, cost, and schedule. This presentation will be a decision presentation, not merely an information presentation. The final slide should ask the sponsor for approval to proceed with the project. Length should be appropriate to purpose and audience (approx. 8-10 slides). The slides should not be too full of text or bullets, and should use large enough text for readability Please do not use timed automatic slide transitions for this presentation. You may organize and format your presentation in any way that seems most effective and appropriate to the purpose. Graphics may be used but should be meaningful, useful, and not distracting or gratuitous. Each slide should have speaker notes for what the presenter has to say. The presentation should include enough detail to allow the stakeholder(s) to make a go/no-go decision on whether the proposal is acceptable to begin project execution. Make sure that all your documents are consistent and do not contradict each other. For instance, the schedule and costs as presented in the Microsoft PowerPoint presentation, the Microsoft Project schedule, and the Project Management Plan should all agree.
